Required documents issued outside Poland

ATTENTION

In order to verify your eligibility and to have your grades converted from a diploma issued abroad (doesn't apply to candidates for bachelor studies holding International Baccalaureate nor European Baccalaureate), you should upload the set of documents listed belowÌýno later than 5 working daysÌýbefore the end of the registration for the chosen field of studyÌý in the IRK system after creating your account.

The conversion of grades and entering the results into the IRK system are done by the Recruitment Office or the Cooperation and International Relations Office.

Only scans that areÌýlegible and completeÌýwill be verified and processed.

Candidates for bachelor (first cycle) or 5 years master (long-cycle) studies

1. DIPLOMA: Foreign High School diplomaÌýcertified by an apostille or legalisation.

a) anÌýÌý(if the document has been issued by an institution operating in the education system of a country that is a party to theÌý.ÌýThe obligation to provide an apostilleÌýdoes not applyÌýto candidates who holdÌýInternational Baccalaureate Diplomas and European Baccalaureate Diplomas).

b) legalized byÌýÌýholding an Office in the issuing country – in other cases;

2. SUPPLEMENT/TRANSCRIPT OF RECORDSÌýand list of subjects in case there is no information on the Diploma about the grades and subjects obtained. Exams results - if available in a given country (e.g. ZNO, CT, WASSC, NECO, Gaokao).

3. CERTIFIEDÌýTRANSLATIONÌýof the documents listed in points 1 and 2, with the exception of the IB and EB diploma:

a) into Polish - in the case of studies conducted in Polish;

b) into Polish or English - in the case of studies conducted in English.

5. POLISHÌýLANGUAGE CERTIFICATEÌý- in the case of candidates who do not have Polish citizenship and are applying for admission to study in Polish

6. ENGLISHÌýLANGUAGE CERTIFICATEÌý-Ìýin the case of candidates who areÌýapplying to study in EnglishÌý

7. Non-EU, non-EFTA, non-OECD citizens, one of the documents listed below (original or notarised copy):

  1. passport
  2. Card of Pole (Karta Polaka)
  3. permanent residence card + decision on granting permanent residence permit in Poland
  4. formal decision on Polish origin
  5. formal decision on refugee status granted by the Republic of Poland
  6. formal decision on temporary protection in the territory of Poland (or PESEL certificate with UKR status - document must be issued not earlier than 30 days before the date of submitting its' scan in the IRK system)
  7. formal decision on subsidiary protection in the territory of Poland
  8. long-term residence permit of the EU
  9. document confirming the type and degree of kinship with Polish citizen (spouse/ascendant/descendant)
  10. Polish language certificate issued by PKPZJP (min.ÌýC1 level)
  11. formal decision in temporary residence permit on the basis of art. 127, art. 137a, art. 159 sec.1 or art. 186 sec. 1 pt. 3 or 4 of the Act of 12 December 2013Ìý on foreigners along with temporary residence card

8. EU, EFTA, OECD citizens: passport (original or notarised copy)

9. NAWA DECISIONÌýgranting the scholarship (NAWA scholars only) andÌýphotocopy of passport.

PAPER DOCUMENTS SUBMISSION

How to submit the original paper documents?

Candidates with 'qualified' or 'reserve' status who have received their education outside Poland until the announcement of the admission list may:Ìý

  1. use scansÌýof the required documents Ìý(doesn't apply to candidates for bachelor studies holding International Baccalaureate nor European Baccalaureate) and deliver the original paper documents no later than 15 October 2025 to:

  • Ìý- in the case ofÌýEU/EFTAÌýnationals and persons in possession of one of documents listed below:
  1. Card of Pole (Karta Polaka)
  2. permanent residence card + decision on granting permanent residence permit in Poland
  3. formal decision on Polish origin
  4. formal decision on refugee status granted by the Republic of Poland
  5. formal decision on temporary protection in the territory of Poland
  6. formal decision on subsidiary protection in the territory of Poland
  7. long-term residence permit of the EU
  8. document confirming the type and degree of kinship with Polish citizen (spouse/ascendant/descendant)
  9. Polish language certificate issued by PKPZJP (min.ÌýC1 level)

What original paper documents should be submitted?

  1. Required documents mentioned aboveÌý(according to the chosen cycle of study);
  2. A self-signedÌýpersonal questionnaire, generated and printed from the IRK system;
  3. An up-to-dateÌýcolour photographÌýmeasuring 35 mm x 45 mm (ID or passport size).
  4. Legal representative statement of consentÌý- candidates under 18Ìý

IMPORTANT

  • Failure to submit paper documents by any of the above deadlines will result in non-enrolment on the student list;
  • A candidate not qualified for admission is not entitled to submit documents;
  • Documents may be submitted in person, by a third party, or sent by post or courier (the date of delivery, not the date of posting, is what counts). We do not require authorisation for submission of documents by a third party;
  • The submission of documents by persons with "reserve" status does not mean being admitted. A "reserve" candidate takes the place of a "qualified" person (according to the ranking) in the event that this person has not provided a complete set of documents by the set deadline, has resigned from the recruitment process or has been disqualified.
